We built Voice Money Manager to make tracking money fast, private, and a little bit delightful — whether you're running a business or just running a household. We believe a privacy policy should be readable without a lawyer beside you, so we've explained, in plain English, what we collect, why, and the choices you have. If anything is unclear, email

A. Who we are & scope
Voice Money Manager (“VMM”, “we”, “us”, “our”) is operated by AI Canadian Solutions (“AICS”). This policy applies to our mobile apps, our web app at voicemoneymanager.aicanadiansolutions.ca, and the services offered through them.
In short: This covers the VMM app and website. Other companies we link to have their own policies.
We do not market to, or knowingly collect information from, children under 13.
B. What information we collect
We only collect what's needed to run the features you use. That can include:
- Account details — your name, email, and password (stored hashed, never in plain text).
- Financial data you enter or import — transactions, accounts, balances, budgets, categories, vendors, and tax details.
- Receipts & documents — images and files you scan or upload, and the data our AI extracts from them (vendor, date, totals, tax, currency).
- Bank statement files — CSV/OFX/QFX/PDF statements you choose to upload for import. We do not ask for your online-banking login or use a bank-aggregation service.
- Voice input — audio or transcripts you provide when you use voice entry, used to create the transaction you asked for.
- Usage & device data — app version, device type, operating system, IP address, and basic interaction logs used to keep the service working and secure.
In short: We collect the money data you put in, the receipts you scan, and a bit of technical data to keep things running. What you give us depends on which features you use.
C. How we use your information
- To provide the service — store and organize your finances across your devices.
- To read receipts and statements with OCR and AI, and to suggest categories and vendors.
- To authenticate you, keep your account secure, and prevent fraud.
- To send service messages (security codes, important account or product changes). Marketing emails are optional and always include an unsubscribe link.
- To improve the product — see the next section about how AI training works and how to opt out.
In short: We use your data to run the app, read your receipts, keep your account safe, and improve the product. We never sell your personal information.
D. Receipts, OCR & AI processing
When you scan a receipt or import a statement, the image or file is processed by optical character recognition (OCR) and AI models — including services from Google (Document AI) and OpenAI — strictly to extract the transaction details and return them to you. We are not responsible for the readability of blurry or low-resolution images.
Self-improvement & your choice: corrections you make can be used to improve extraction accuracy. This training is currency-partitioned and tied to your account's improvement settings. You can opt out of AI-improvement training at any time in the app, and we honor that opt-out in our receipt and vault processing.
Please don't scan documents containing fully-visible payment-card numbers or government ID numbers — the receipts feature is not intended to store that, and you should redact it first.
In short: Your receipts are read by trusted AI services only to pull out the details. You can turn off training-on-your-data whenever you want.
E. When we share information
We share only what's necessary, and only with service providers under contracts that require them to protect your data and use it solely to perform their service:
- Cloud hosting & storage — Amazon Web Services (data hosted in Canada, region ca-central-1).
- AI/OCR processing — Google and OpenAI, to read receipts and statements.
- Payments — Stripe (web subscriptions) and Apple / Google (in-app purchases on mobile).
- Legal requirements — when required by law, court order, or to protect rights and safety.
If the ownership of VMM ever changes, customer data may transfer as part of that deal; we'll notify you if that materially changes this policy.
In short: We share data only with the providers that make the app work, and only as much as they need. We don't sell it or hand it to advertisers.
F. How we protect your data
Your information is encrypted in transit (TLS) and at rest. Receipts and vault documents are stored in a private, access-controlled environment in Canada. We use administrative, technical, and physical safeguards to restrict access. No system is 100% impenetrable, so we can't guarantee absolute security — but we work hard to earn your trust, and we'll notify you of a material security incident where the law requires it. Report security concerns to security@aicanadiansolutions.ca.
In short: We encrypt your data and store it securely in Canada. Help us out by keeping your password private.
G. How long we keep it
We keep your information while your account is active and as needed to provide the service. If you close your account, we delete your personal information within sixty (60) days, unless we're legally required to keep certain records longer. Receipts you've already turned into transactions remain in your books for as long as your account exists.
H. Your rights & choices
- Access & export — view your data in-app, or request a portable export.
- Correct — edit your information anytime in the app.
- Delete — close your account and request deletion (subject to legal retention).
- Opt out — of AI-improvement training and of marketing emails, at any time.
Depending on where you live (e.g., Canada under PIPEDA, California under the CCPA/CPRA, or the EU/UK under the GDPR), you may have additional rights. We honor those rights and won't discriminate against you for exercising them. To make a request, contact us below.
In short: You can see, fix, export, or delete your data, and opt out of training or marketing — just ask, or use the controls in the app.
I. Changes to this policy
If we make a material change, we'll notify you by email or an in-app notice before it takes effect. Continued use after that means you accept the updated policy.
